Transitioning Out of U-M and Your U-M Google Account

U-M faculty, students, and staff obtain Google services based on their affiliation with the university. The highest affiliation with the university takes priority. Therefore, if a user has a student affiliation, that takes priority over a unit affiliation for a unit with restricted data. Below is a list of the levels of U-M Google Services and what happens when an affiliation changes.

** Core services are a special bucket that include only the services that are covered by our agreement with Google. Faculty, students, and staff may choose to opt out of the "Additional Services" if they so choose. Individuals who do not agree to the terms for the Additional Services at the time they initially log in must contact the Service Center to be moved to the Core-Only equivalent.

U-M Google Services:

  • All ServicesAll Core and Additional Services, no ads in Core
    • All students, faculty, and staff affiliated with the U-M Ann Arbor or Dearborn campus but not affiliated with the medical campus.
    • Temporary staff and sponsored affiliates of the U-M Ann Arbor or Dearborn campus. 
    • All retirees.
  • All Services CoreAll Core Services; no ads; no Additional Services (user does not agree to terms)
    • Any student, faculty, or staff affiliated with the U-M Ann Arbor or Dearborn campus who has called the Service Center to opt out of Additional Services. 
    • Any retiree who has called the Service Center to opt out of Additional Services. 
  • RestrictedContacts, Groups, and Drive enabled; no Mail, no Calendar; Additional Services enabled (except for Google+, which requires Calendar)
    • All students, faculty, and staff affiliated with the medical campus. 
    • All students, faculty, and staff affiliated with the U-M Flint campus. 
    • All temporary staff and sponsored affiliates of the U-M Flint campus. 
  • Restricted CoreContacts, Groups, and Drive enabled; no Mail, no Calendar; no Additional Services (user does not agree to terms)
    • Any student, faculty, or staff affiliated with the medical campus who has called the Service Center to opt out of Additional Services. 
    • Any student, faculty, or staff affiliated with the U-M Flint campus who has called the Service Center to opt out of Additional Services. 
  • AlumniAll Core Services with ads (Currently, there are no ads. If Google provides the ability to serve ads at the sub-organization level, we’re required to display them.)

Students Who Graduate:

  • Students who graduate from U-M Ann Arbor and Dearborn retain their current affiliation with U-M and continue with an all services account.
  • Students who graduate from U-M Flint retain their current affiliation with U-M Flint and continue with a restricted account.

Faculty and Staff Leaving U-M:

  • U-M faculty and staff members who retire from the university, regardless of what school or unit they are retiring from, will continue to receive all Google services. There are no restricted retirees. When users with previous restricted affiliations retire from U-M, they receive all services at the point their status changes to "retiree".
  • U-M faculty and staff who are terminated from their affiliation with any unit or school campus will have their account suspended and removed after 30 days.
  • These rules also apply to temporary staff and sponsored affiliates.

    Faculty and Staff Transitioning To/From the Medical Campus:

    • Users moving from the medical campus to another area at U-M will initially be registered as "restricted" as they were when affiliated with the medical campus. Once the job record is changed, their affiliation is changed and the system automatically moves the employee to all services.
    • Employees whose affiliation initially granted them an all services account will retain all services, even if moving to the medical campus. It is possible to submit a request to place the employee on "restricted" status if the employee's new organization deems necessary. This does not happen automatically. A request for restricted status must be made to the ITS Service Center.
